Job Announcement: Office Manager

The Vermont Sustainable Jobs Fund (VSJF) Office Manager will be responsible for the oversight of all office and administrative functions including program related and special events logistic support, website customer service, consultant contract management, client invoicing, office supply management, database management and grants management. The Office Manager will also be involved in a range of strategic planning and internal initiatives and will report to the Executive Director.

The ideal applicant should have at least five years of experience in customer service and/or administrative support and a strong affinity with the mission of the VSJF.

The VSJF’s mission is to nurture the sustainable development of Vermont’s economy by providing business assistance, network development, research and financing in agriculture and food system, forest product, waste management, renewable energy, and environmental technology sectors.The VSJF’s largest program is the Vermont Farm to Plate Initiative and ~70% of the Office Manager's time will be devoted to providing network coordination services to the Farm to Plate Network.

Duties & Responsibilities:

Network Coordination and Program Logistics Support

  • Provide logistical and administrative support to 5-year old Farm to Plate Network and emerging networks in forest products and the climate economy (meeting logistics, meeting notes, etc.)
  • Help organize Network Gatherings and other events
  • Provide administrative support to Program Directors, the Executive Director, and the Flex Fund President

Customer Service

  • Provide excellent customer service assisting Network members with navigating organization websites, maintaining their profile and other crowd sourcing features
  • Provide excellent customer service to meet a wide range of Network members’ needs and answer their questions

Communication & Website Management

  • Contact database expansion and management (e.g., ACT!, Constant Contact, and/or other TBD program)
  • Work with other VSJF staff to maintain databases for the Vermont Farm to Plate website and Food System Atlas and assist with content management and user adoption
  • Assist Communications Director with social media
  • Attend and exhibit at events (e.g., Vermont Farm Show, NOFA Winter Conference)

Finance Management Support

  • Prepare and tracks client invoices for the Director of the VT Agriculture Development Program
  • Work with the Executive Director to maintain an efficient grants management and reporting system
  • Maintain system for consultant contracts and reports
  • Help maintain loan file documentation of Flex Fund borrowers

Office Management

  • Purchase office supplies as needed
  • Support the development and maintenance of efficient internal organizational systems


  • Excellent organizational skills and keen attention to detail; experience creating/maintaining efficient organizational systems
  • Strong written and oral communication skills
  • Strong customer service and outreach skills
  • Ability to manage time effectively, especially while supporting multiple programs at once
  • Grants management and reporting experience
  • Proficiency with QuickBooks a plus
  • Experience with Microsoft Office suite, website content management, database management (e.g., ACT!), social media technology (e.g., Constant Contact, Facebook, Twitter), and Doodle Poll administration (proficiency in In Design a bonus)
  • Team player, sense of humor, and positive attitude
  • Personally driven to make a difference
  • Project management skills a plus
  • Knowledgeable about sustainability and food systems a plus
  • Ability to travel as the job requires (mostly within Vermont)
